After-hours call answering for HVAC contractors and plumbers
Updated September 20, 2026
HVAC and plumbing shops handle after-hours calls four ways: an on-call rotation, a live answering service billed per call, an AI voice receptionist, or missed-call text-back. For an owner-operated shop the cheapest one that still catches the 9 PM no-heat call is text-back: the caller gets a text within about 30 seconds asking what the job is and where, nobody has to wake up, and it is a flat $129 CAD a month rather than a charge per call.
The 9 PM no-heat call is the most valuable call your shop gets and the most likely one to ring out. Here is what actually happens to it under each of the four ways trades businesses handle after-hours phones, and what each costs.
The four options
| Option | What the 9 PM caller experiences | Typical cost | The catch |
|---|---|---|---|
| On-call rotation | A tired tech answers, or nobody does | Overtime or goodwill | Burns people out; solo operators ARE the rotation |
| Live answering service | A human operator takes a message | About $10 USD a call (Smith.ai publishes $300 a month for 30 calls, read September 20, 2026) | Per-call billing; the operator cannot answer trade questions |
| AI voice receptionist | An AI voice answers and books | From about $99 to $129 CAD/mo, metered by calls or minutes | The AI voice is your first impression; busy months cost more |
| Missed-call text-back | Call rings out, then a text lands in ~30 seconds asking what they need and where | $129 CAD/mo flat (AnswerBot) | Nobody speaks to the caller live; the owner still makes the callback |
Why text-back fits the after-hours problem specifically
- It works while you sleep. No rotation, no staffing gap, no per-call meter running overnight.
- Night callers will text. They will not leave a voicemail, but they will answer "what's going on and what cross street are you near?" from the couch.
- The photo tells you if it is a real emergency. A picture of the burst pipe at 11 PM tells you whether it is emergency-rate work or a morning job.
- You stay in control of pricing and promises. The text never quotes prices or books times; it holds the customer and hands you the lead.
When live answering is still the right call
If you run guaranteed-response emergency contracts, dispatch around the clock, or serve commercial clients who expect a human on line one, a live service or an on-call rotation is the honest answer, and text-back becomes the backstop for the calls even they miss. For a one-to-five-truck shop without those contracts, paying per call for overnight message-taking rarely beats a flat text-back plan.
